Agencies do not lose clients on the work. They lose them on the invoice that went out late and the report nobody ran.
how it runs
the workflows
- 01
Client onboarding
Signature triggers the folder, the channel, the access requests and the kickoff brief, so week one is the work rather than the setup.
- 02
Proposal generation
Scope and pricing assembled from your own past proposals, in your format, ready to edit rather than ready to start.
- 03
White-label reporting
Client-facing reports built and sent on schedule under your brand, from the platforms directly, with no screenshot step.
- 04
Time to invoice
Tracked time turned into a draft invoice against the retainer, with overages flagged before they become an awkward conversation.
- 05
Retainer alerts
Burn rate watched against the agreement, so you hear about a client going over in week two rather than at the end of the month.
how it holds up
01
We shadow one live client first
A real account goes through your current process while we time every handoff. The workflow is built from what actually happens, not from the process document.
02
Only the identical steps get templated
The parts that are the same every time become the workflow. The parts that change per client stay with the account manager.
03
One team pilots it
A single account team runs it for a month while everyone else carries on as normal, so a bad assumption costs one team a month rather than the agency a quarter.
04
Rollout waits for refusal
We move the other teams across once the pilot team refuses to go back. That is a better signal than any adoption metric.
what it will not do
It will not rescue an underpriced retainer. If the scope was wrong at signature, this makes the loss arrive faster and more legibly, which is useful but not pleasant.
The 46 hours is agency-wide per month, not per account manager, and it assumes you currently do the reporting and invoicing by hand.
Client-specific work stays manual on purpose. An agency whose every account runs differently has less to template than it thinks.
Your clients still need to hear from a person. Automating the admin is not the same as automating the relationship, and confusing the two is how agencies lose accounts.
